Receptionist and Administration Clerk

Job Description

We are seeking a highly organized and proactive individual to provide office and administrative comprehensive support. The ideal candidate will possess fundamental understanding experience of receptionist and office management procedures, data entry, accounts receivable and accounts payable data collection, and various administrative tasks. This role is crucial in ensuring the smooth operation of the office and productivity within the executive team. This is an onsite in office position.


Responsibilities

  • Receptionist duties and responsibilities include, but are not limited to greeting and processing visitors, answering telephone and communicating messages, and processing mail.
  • Perform data entry tasks accurately and efficiently to maintain up-to-date records.
  • Transcribe meeting notes and prepare documents as needed.
  • Organize and file important documents, ensuring easy access.
  • Assist with basic data collection, coordination, and data entry tasks as required.
  • Manage office supplies inventory and coordinate with vendors for procurement.
  • Facilitate communication between departments and external stakeholders.
  • Maintain company certifications and licensing and insurances
  • Any other duties assignment by Executive Leadership.


Requirements

  • Proven experience in Microsoft 365 Suite (Outlook, Word, Excel, PowerPoint, Teams, etc.) 
  • Familiarity with Accounting Software is a plus
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills.
  • Attention to detail with a commitment to accuracy in data entry and documentation.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • A proactive attitude towards problem-solving and improving office processes.
  • The key candidate will have a desire to learn and be coachable.
  • This is an onsite in office position.


Qualifications

  • AA Degree or High School Diploma with applicable experience 
  • 3-5 years of experience in day-to-day receptionist and office administration, or similar roles on a project team
