Position Overview

The Office Manager / Executive Assistant will serve as a key administrative partner to the executive leadership team, ensuring efficient day-to-day operations across the organization. This individual will handle a broad range of administrative, organizational, and communication responsibilities — balancing attention to detail with a proactive, problem-solving mindset.

The ideal candidate is highly organized, professional, and adaptable — able to manage multiple priorities, anticipate needs, and maintain confidentiality while representing the organization with excellence.

Key Responsibilities

Executive Support

  • Manage calendars, meetings, and travel arrangements for executive team members
  • Prepare agendas, presentations, reports, and correspondence for executive meetings
  • Support board and client meeting logistics, including scheduling, materials, and follow-up
  • Maintain strict confidentiality and handle sensitive information with discretion

Office Management

  • Oversee daily office operations, including supplies, vendor coordination, and facilities management
  • Serve as the first point of contact for visitors, partners, and vendors
  • Manage incoming communications (emails, calls, mail) and ensure timely responses
  • Maintain organized filing systems (digital and physical) for company documents

Project & Administrative Support

  • Assist with preparation of proposals, client documents, and internal reports
  • Coordinate project timelines, deliverables, and team communications
  • Support accounting functions such as expense reports, invoices, and basic bookkeeping coordination
  • Monitor office budgets and assist with procurement and expense tracking

Team & Culture

  • Support HR functions including onboarding, team events, and internal communications
  • Help cultivate a professional, organized, and positive office environment
  • Serve as a resource to team members for administrative or operational needs

Qualifications

  • Education: Associate’s or Bachelor’s degree in Business Administration, Communications, or related field preferred
  • Experience: 3–5 years of experience as an Office Manager, Executive Assistant, or in a similar administrative role
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
  • Excellent written and verbal communication skills
  • Proven ability to handle confidential information with professionalism
  • Highly organized, detail-oriented, and capable of managing multiple priorities
  • Self-motivated with a proactive, solution-oriented approach
  • Experience in consulting, staffing, or professional services industries is a plus
