Position Overview
The Office Manager / Executive Assistant will serve as a key administrative partner to the executive leadership team, ensuring efficient day-to-day operations across the organization. This individual will handle a broad range of administrative, organizational, and communication responsibilities — balancing attention to detail with a proactive, problem-solving mindset.
The ideal candidate is highly organized, professional, and adaptable — able to manage multiple priorities, anticipate needs, and maintain confidentiality while representing the organization with excellence.
Key Responsibilities
Executive Support
- Manage calendars, meetings, and travel arrangements for executive team members
- Prepare agendas, presentations, reports, and correspondence for executive meetings
- Support board and client meeting logistics, including scheduling, materials, and follow-up
- Maintain strict confidentiality and handle sensitive information with discretion
Office Management
- Oversee daily office operations, including supplies, vendor coordination, and facilities management
- Serve as the first point of contact for visitors, partners, and vendors
- Manage incoming communications (emails, calls, mail) and ensure timely responses
- Maintain organized filing systems (digital and physical) for company documents
Project & Administrative Support
- Assist with preparation of proposals, client documents, and internal reports
- Coordinate project timelines, deliverables, and team communications
- Support accounting functions such as expense reports, invoices, and basic bookkeeping coordination
- Monitor office budgets and assist with procurement and expense tracking
Team & Culture
- Support HR functions including onboarding, team events, and internal communications
- Help cultivate a professional, organized, and positive office environment
- Serve as a resource to team members for administrative or operational needs
Qualifications
- Education: Associate’s or Bachelor’s degree in Business Administration, Communications, or related field preferred
- Experience: 3–5 years of experience as an Office Manager, Executive Assistant, or in a similar administrative role
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
- Excellent written and verbal communication skills
- Proven ability to handle confidential information with professionalism
- Highly organized, detail-oriented, and capable of managing multiple priorities
- Self-motivated with a proactive, solution-oriented approach
- Experience in consulting, staffing, or professional services industries is a plus
