Job Description

Position Summary:

We are seeking a dynamic and organized Office Manager & Executive Assistant to provide administrative support to the leadership team and ensure smooth daily operations of the office. This dual role will require exceptional multitasking abilities, strong organizational skills, and the capacity to work efficiently in a fast-paced environment. The ideal candidate will be proactive, detail-oriented, and able to anticipate the needs of both the office and executives.

Key Responsibilities:

Office Management:

  • General Office Operations: Ensure the office environment is well-organized, welcoming, and conducive to productivity.
  • Office Supplies: Monitor and manage office inventory, including ordering supplies, managing vendors, and maintaining office equipment.
  • Facility Management: Coordinate office maintenance, IT support, and manage relationships with building management.
  • Event Planning: Organize internal events, team-building activities, and office celebrations.
  • Communication: Handle incoming calls, mail, and visitors in a professional manner.
  • Health and Safety: Ensure office complies with safety and environmental regulations.

Executive Assistance:

  • Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements for executives.
  • Travel Arrangements: Book flights, hotels, and ground transportation, ensuring all logistics are handled smoothly for executives.
  • Document Preparation: Assist with the preparation of presentations, reports, and correspondence, ensuring accuracy and professionalism.
  • Meeting Support: Prepare meeting agendas, take minutes, and follow up on action items as necessary.
  • Project Assistance: Assist executives in the tracking of projects and deadlines.
  • Confidentiality: Handle sensitive information and maintain discretion at all times.

Qualifications:

  • Experience: 3+ years of experience in an office management or executive assistant role. Previous experience in a fast-paced environment is a plus.
  • Education: High school diploma or equivalent required. A degree in business administration or a related field is preferred.
  • Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with office management software (e.g., Google Workspace, Trello, Asana, or others).
  • Excellent organizational and time management skills.
  • Strong communication skills, both written and verbal.
  • Ability to handle multiple tasks and prioritize effectively.
  • Strong attention to detail and problem-solving abilities.
